How can you make sure things are done right? And done the same way, every time?

While creating and documenting a process for a client, they mentioned that different people do the same step a separate way. But the way they wanted it done in the future was a specific way that could be tracked in their system.

“This is how it should be done.” And I wrote it down in my notes and documented the process as described. But how will we make sure it’s done that way in the future? And how can you make sure habits are changed?

Luckily, this client has meetings to review progress of this specific work and people who can confirm things are done in the system the right way. And I was able to modify the process to add these steps in to ensure things are done “the right way” and the staff knows to confirm this.

But how can you make sure things are done “the right way” at your company? What if you don’t have the people to check on things? Or the systems to track processes?

It all starts with creating the right process. You can easily (and free of charge) create tools to track things, such as customer data and job progress. Adding conditional formatting to a spreadsheet will automatically highlight and call attention to things you need to know. And you can implement software (not free) to track work and create reports for you.

Want to make sure you’re creating an accurate marketing list? Create a process where all inquiries get logged and added to your marketing routine. Need to make sure payments are being collected? Track that information also. And, if it’s important enough, review the status of these items during team meetings.

Will this require your team to learn new skills or create new tools? Probably, but you could also outsource this work. Just make sure you find the right person who can understand your business and create tools that don’t add complexity or cause confusion. Creating the right process should make things easier, not harder. You want to make it easy to “do it right.”
